Gmail App Passwords
If using Gmail, you must enable 2-Step Verification and generate an App Password. Regular Gmail passwords won't work for security reasons. Go to myaccount.google.com → Security → App Passwords.
Daily Sending Limits
Set daily sending limits per email account to stay within provider restrictions:
- Gmail: 500 emails per day (free), 2,000/day (Google Workspace)
- SendGrid: Based on your plan
- Amazon SES: Starts at 200/day, increases automatically
MailPilot will automatically throttle sends to stay within your limit.
Domain Authentication
Authenticate your sending domain to improve deliverability and avoid spam filters.
Why Authenticate Your Domain?
- Proves you own the domain you're sending from
- Improves inbox placement rates
- Builds sender reputation
- Required by many inbox providers
- Enables DMARC protection
SPF (Sender Policy Framework)
SPF authorizes MailPilot to send emails on behalf of your domain.
- Go to Settings → Domain Authentication
- Click Add Domain
- Enter your domain (e.g., example.com)
- MailPilot generates SPF record instructions
- Add the SPF record to your domain's DNS settings:
- Type: TXT
- Name: @ (or your domain)
- Value:
v=spf1 include:mailpilot.dev ~all
- Wait for DNS propagation (up to 48 hours, usually much faster)
- Click Verify SPF in MailPilot
DKIM (DomainKeys Identified Mail)
DKIM adds a digital signature to your emails for authentication.
- In Domain Authentication, click Generate DKIM Keys
- MailPilot provides three DNS records to add
- Add each DKIM record to your DNS:
- Type: TXT
- Name: mailpilot._domainkey (provided by MailPilot)
- Value: Long public key string (provided by MailPilot)
- Wait for DNS propagation
- Click Verify DKIM
DMARC (Optional but Recommended)
DMARC tells receivers what to do with emails that fail SPF/DKIM checks.
Add this TXT record to your DNS:
- Name: _dmarc
- Value:
v=DMARC1; p=none; rua=mailto:[email protected]
This policy starts in monitoring mode (p=none). Once confident, change to p=quarantine or p=reject.
DNS Changes Take Time
DNS changes can take up to 48 hours to propagate globally, though they usually happen within a few hours. Don't panic if verification fails immediately after adding records. Wait a few hours and try again.
Sender Profiles
Create multiple sender profiles for different types of campaigns.
Creating a Sender Profile
- Go to Settings → Sender Profiles
- Click Add Profile
